Your Role:
As our IT Operations Specialist, you will ensure the effective execution of operational processes within the company. This role requires strong attention to detail, organizational skills, and the ability to multitask effectively to ensure timely and accurate operations.
What You’ll Do:
Act as the point of contact for client billing questions, providing timely and accurate information regarding invoices, payment status, and contract terms.
Review and verify vendor invoices to ensure accuracy, matching purchase orders and delivery receipts. Investigate and resolve discrepancies as needed.
Ensure customer invoices are accurate and match contracted terms, pricing agreements, and services rendered.
Coordinate and manage the timely dispatch of engineers to client locations, ensuring effective communication and swift adjustments to meet client needs.
Schedule and assign engineers to remote work requests, ensuring resource availability, alignment with requirements, and timely delivery of services.
Oversee the ordering process for hardware and software, ensuring that orders are placed, tracked, and delivered on time.
Manage the onboarding process for new clients, ensuring accurate data entry into the system and a smooth transition into service delivery.
Maintain organized records for all vendor and customer invoices, contracts, orders, and shipping details to ensure easy access and compliance with company policies.
Collaborate with the finance, sales, and support teams to resolve billing or order-related issues and improve operational efficiency.
Monitor ticket queues and ensure that requests are handled in a timely manner, meeting service level agreements.
Offer proactive support and follow-up with clients to ensure continued satisfaction.
What We’re Looking For:
Bachelor’s degree in business administration, Operations Management, or a related field, or equivalent work experience.
Minimum of 2 years of experience in operations, billing, or a related role.
Strong attention to detail with the ability to spot discrepancies and resolve them accurately and efficiently.
Excellent communication skills, both written and verbal, to handle inquiries from clients and vendors.
Proficient in Microsoft Office Suite (Excel, Word, Outlook)
Excellent organizational and time-management skills, with the ability to prioritize and manage multiple tasks effectively.
Strong problem-solving skills and the ability to handle complex inquiries and issues independently.
