Human Resources Specialist




Job Description :

Diverse Staffing, a Glassdoor Best Places to Work, is currently seeking an energetic professional to join our team as an Employee Services Specialist at our Corporate Office in Indianapolis, IN. This is an in-office opportunity with an annual salary up to $54,000.

The Employee Services Specialist provides support to our employees and customers to assist with guiding them and understanding our processes.

The following represents the essential job functions for the Employee Services Specialist:

  • Manage new hire onboarding process and ensure completion of all required documents

  • Prepare offer letter and Welcome Emails for new hires

  • Request initial set-up for new hires communicating needs to multiple groups

  • Review and process new hire paperwork and facilitate onboarding sessions with new employees

  • Deliver One on One Welcome Orientation to new internal staff members

  • Run Background Checks and Credit Checks (depending on position) for new hires

  • Serve as a resource to potential candidates, new hires, and managers providing guidance on benefits and policies

  • Manage Benefits email

  • Set up deductions for internal employee Health Savings Accounts (H.S.A.)

  • Deliver HR training solutions to new internal staff members (Unemployment or other areas as necessary)

  • Responsible for data management in applicant tracking system including creating job orders, placing employees on assignments, and closing assignments as required

  • Process all unemployment notices for internal employees and attend hearings as required

  • Process terminations including Separation Notices as required and notify third party vendor to send out COBRA paperwork as applicable

  • Serve as benefits administrator for enrollment, open enrollment, and termination of employee benefits

  • Administrator for adding internal employees to COBRA Benefits system

  • Assist with annual open enrollment notifications to employees

  • Assist with annual EEO report as needed

  • Assist with Affirmative Action Plan and OFCCP audits as needed

  • Attend vendor meetings with vendors as required (Benefits, COBRA, etc.)

  • Manage and audit internal records to ensure completion

  • Assist with E-Verify or other HR audits as needed

  • Manage internal employment verifications as needed

  • Respond to employees’ queries and resolve issues in a timely and professional manner

  • Remove internal employees from active status in E-Verify when terminations occur, close assignment, move folder, and notify appropriate parties regarding termination

  • Stay current on recent federal, state, and case law changes and ensures compliance and reporting with all Federal, State and Local employment laws

  • Translate documents as needed

  • Route EEOC claims, Civil claims and all employee relations issues to Employee Services Director as received

  • Assist Director Employee Services with company event and outings as needed

Candidates must meet the following minimum job requirements to be deemed qualified for the position:

  • Bi-lingual skills are preferred, not required

  • Associate degree (preferably in human resources) or equivalent work experience in a staffing agency, human resources, or customer service role

  • Excellent interpersonal skills; able to interact in a respectful manner with a diverse population of colleagues, clients and job applicants; leveraging active listening skills and paying attention to cues from reading their audience

  • Proven communication skills; able to convey one’s message in a clear, concise and professional manner, considering one’s audience, in all forms of media (i.e. voicemail, phone, email, face-to-face) and handles conflicts and disagreements constructively

  • Proficient multi-tasking capabilities; able to prioritize multiple job requisitions, software and business processes while remaining compliant with policies and delivering against deadlines

  • Proven problem-solving skills; able to identify important aspects of a problem, gather appropriate information, determine potential causes, and specify alternative solutions

  • Strong attention to detail; demonstrating attentiveness to all aspects of a task or process, alert and accurate

  • Excellent computer skills in a Microsoft Windows environment
